This policy applies to the website, readiness check, secure workbook upload, research engagement and related business communications.

Who we are

FilterEvidence Australia is a product brand operated by Hangzhou XingjianRuida Information Consulting Co., Ltd. (“FilterEvidence”, “we”, “us”). We determine why and how end-user information collected through this service is used.

Information we collect

  • Business identity and contact information, including name, work email, role, organisation and market. A work name, work email or professional role may still be personal information where it identifies or can reasonably identify an individual.
  • Application and requirement information, including equipment, process, operating context and filter-cloth requirements.
  • Engagement records, including scope, quote, payment status, delivery, clarification, complaint and approval records.
  • Technical and security records, including case and upload IDs, timestamps, file hashes, validation results, access information and service logs made available by our providers.
  • Limited public business information used for individually reviewed B2B research and outreach, together with its source, access date and relevance.

Passwords, government identity documents, payment-card data, health information, export-controlled or controlled-technology material, unnecessary third-party personal data, or information you are not authorised to disclose.

How and why we use information

We collect information from you, authorised colleagues, our forms and secure upload process, correspondence, payment or email providers, and relevant public business sources. We use it only for documented business purposes: to assess readiness and service fit; confirm scope and price; validate workbooks; conduct evidence research; prepare and deliver the Brief; answer the included clarification; administer payment, complaints and records; protect the service; and meet legal obligations.

Submitting an enquiry permits us to respond about that enquiry; it does not create open-ended marketing consent. Any separate B2B outreach requires its own documented consent assessment and a working opt-out.

We do not sell or rent personal information or contact lists. We do not turn customer workbooks into public demonstrations without separate written permission and appropriate de-identification.

Disclosure and supplier contact

Information may be disclosed only as needed to authorised personnel and contractors, hosting, database, object-storage, email, security and payment providers, professional advisers, or authorities where legally required. We limit access by role and purpose. Customer requirement information is not given to a candidate supplier unless the customer separately authorises that disclosure in writing.

Hosting and international handling

This website is hosted by OpenAI through ChatGPT Sites. Its current technical configuration uses managed D1 database storage for structured application, requirement and audit records, and managed R2 object storage for uploaded workbooks. It is not represented as a customer-selected Singapore or Australian server.

ChatGPT Sites does not currently support selection of a data-residency region. Site data, code, uploaded files, generated artifacts and related logs may therefore be stored or processed outside Australia in locations used by OpenAI and its subprocessors. Our legal operator is in China, and authorised personnel may access information from China to provide the service. We do not represent that information remains in Australia or in any single country.

Security

We use private upload links, administrator access controls, structured validation, file hashes, event records and restricted access. No internet transmission or storage method is completely secure. Suspected incidents will be contained and assessed, evidence preserved, and affected people or authorities notified where legally required.

Retention and deletion

Our default periods are stated in the Data Retention & Deletion Notice. When information is no longer required, we delete or de-identify it where reasonably practicable. Legal record-keeping, disputes, fraud prevention, security and do-not-contact obligations may limit a deletion request.

Your choices and requests

  • Request access to or correction of information we hold about you.
  • Request deletion or restriction, subject to lawful retention needs.
  • Withdraw marketing consent or reply “unsubscribe” to an outreach email.
  • Make a privacy complaint and receive a written outcome.

We may verify identity before releasing or changing information. We aim to answer privacy requests and complaints within 30 days. Where the law gives you a right to approach a privacy regulator, that right is not limited by this policy.

Cookies, business users and changes

The site may use cookies or similar technologies necessary for security, session management, form operation and reliability. We do not currently add optional advertising cookies. The service is for business users and is not directed to children. Material policy changes will be dated on this page.
